Start with fixed appointments

Check meetings, appointments and other commitments with a set time. If you use external calendars, confirm their connections are up to date before planning new tasks.

Add the transitions you need: preparing for a meeting, switching context or travelling. An appointment takes up more room in your day than its calendar slot alone.

Separate deadlines from intentions

A task due on Friday does not necessarily need to start on Friday. Identify what needs preparation and spread the steps across different days.

When a date is just an intention, treat it as a decision you can review. Moving everything to tomorrow without checking the time available tends to make your plan less useful.

Reserve blocks for specific actions

Instead of reserving a vague afternoon for “work”, choose the step you want to complete: review a document, prepare examples or test a change. The initial duration can simply be an estimate.

In Dotask, you can organise a task in a list and then give it a time in Schedule. Tasks without a time stay available to fit in when you have more information.

Leave some space unfilled

Keep some gaps for replies, delays and tasks you do not know about yet. There is no single right percentage for everyone; the margin depends on your appointments and type of work.

If your day is often interrupted, start with fewer planned blocks. Reviewing a small plan is more useful than reorganising an entire schedule halfway through the morning.

Example: preparing a Friday delivery

On Monday, gather requirements. On Tuesday, prepare a first version. On Wednesday, test or review it. Leave a Thursday block for corrections and confirm the delivery on Friday.

Splitting the work helps identify the next step and make risks visible. If the first stage takes longer, adjust the following days before the deadline arrives.

Review the plan against what happened

At the end of each day, check completed focus sessions and tasks still open. Recorded time and the initial estimate may differ, and that difference helps with your next plan.

Use the review to move, split or remove tasks. At the start of the following week, check what you learned instead of automatically copying a schedule that no longer works.
